Junior Transport & Hire Assistant – Avonmouth

Reports to: Transport & Hire Manager

Type of position: Full-time

Hours: 40 Hours Per Week

The successful candidate will have exceptional attention to detail and be able to work efficiently within a busy office environment. The ability to multitask with strong organisational skills is important, together with an ability to communicate effectively with all members of the organisation.

Main Responsibilities:

  • Assisting the transport team in arranging and progressing the transport of machines, buckets, and other attachments to given deadlines thus ensuring the smooth day to day running of all company logistics

  • Assisting the transport team in arranging all deliveries and collections across the UK and worldwide, ensuring customer order requirements and delivery times are met
  • Assisting the transport and hire team in accurate maintenance of transport and stock records on the Company’s system
  • Raising POs and GRNs when complete
  • Assisting in organising the transport and hire department documents digital and hard copy archive (transport notes, CMR’s, hire contractors, hired in plant insurances)
  • Assisting the hire team in maintaining accurate records of the hire, loan, and demo fleet
  • Assisting the hire team in preparing hire contracts, obtaining customers insurance evidence
  • Assisting the hire and transport team in liaising with the sales team and workshop to ensure timely preparation and delivery of hired plant
  • Assisting the hire team controlling the hire, loan and demo compliance and invoicing, including sending purchase order requests for machinery on hire
  • Assisting the transport and hire team in tracking and reporting of company’s own / hired equipment
  • Generating / Processing transport notes and worksheets and ensuring any details are noted.
  • Raising purchase orders as required for hired in plant, raising prep jobs and GRNs as required
  • Assisting the hire and transport in Liaising with Yard Manager and to ensure machines are cleaned and ready for transport
  • Any other administrative tasks within capabilities
  • Answering incoming telephone calls and forwarding appropriately

Work experience requirements:

  • Good level of attention to detail and conscientiousness
  • Ability to multi task and prioritise own tasks as required
  • Proficient in the use of Microsoft Office Suite
  • Confident and clear telephone manner

Education Requirements:

  • Good general level of Education including English, Maths and IT.
